Software we work in

AppFolio bookkeeping and account cleanup.

Bookkeeping, reconciliation and account cleanup for property managers running AppFolio. We work in it directly — no migration required to work with us.

What makes this different

AppFolio is supported, not our specialism. Our deepest, evidenced expertise sits in QuickBooks Online. We're saying that here, on the AppFolio page, because you'd find out the difference anyway.

Where AppFolio books come apart

  1. Trust account reconciliation left to catch up quarterly

Should be monthly, every time, or discrepancies compound past the point anyone can trace them.

  2. Owner statements built outside AppFolio

The software's own statement format didn't match what an owner asked for, so someone rebuilds it by hand every month.

  3. Bank feed exceptions piling up

Unmatched transactions sit in a queue nobody's cleared in months.

  4. Chart of accounts inherited from a prior manager

Structured for a portfolio that no longer resembles the one it's tracking.

What a month actually looks like

  1. 1

    Days 1–5

    Income posting

Payments posted, exceptions chased, arrears identified while it's still early.

  2. 2

    Mid-month

    Payables

Vendor invoices entered and coded to the right property and cost category.

  3. 3

    Month end

    Reconciliation and reporting

Bank and ledgers reconciled, statements prepared, distributions calculated.

  4. 4

    Ongoing

    Exceptions reported

Anything that doesn't tie comes to you when we find it — not at year-end.

Common questions

Do we need to migrate platforms to work with you?

No. We work in your software as it stands. Migration is a separate project we can discuss if it makes sense for you — we won't push it as a condition of working together.

Our books are behind on this platform. Is that a problem?

It's the most common reason people call. Cleanup is scoped and quoted separately from ongoing work, because nobody knows how much there is until the books are opened — including us.

Who actually does our books?

A named bookkeeper who knows your portfolio, not a ticket queue and not a different person each month.

What if we don't actually need you?

We'll tell you. If your books are current and you're happy with whoever's doing them, you don't have a problem we solve.

Start with a books review.

We’ll tell you what’s actually wrong, what it takes to fix, and whether you need us at all.

We reply within one business day. Everything you send stays confidential and goes only to the people who’d work on your account.

If your books are current and you’re happy with them, we’ll tell you that too.
